Booking Merstham Village Hall

For weekend bookings the Hall is usually hired by the morning (8.00 a.m. — 12 noon), afternoon (1.00 p.m. — 5.00 p.m.), or evening (6.00 p.m. — 11.00 p.m).. The charge for each of these can be found here.

Please note that these times must be respected. If you hire the Hall for an evening function but wish to start preparing the Hall earlier in the afternoon then you will have to pay for the afternoon as well. Similarly, if you have an evening party and wish to leave the clearing-up until the following morning then you must pay for the morning.

Entry to the Hall is by using a six-figure keycode, which you select. The code will be input into the system a few days before your Hire and removed a day or so afterwards.

There is no restriction on serving alcohol in the Hall. However, if you intend to charge for it then a "Temporary Events Licence" must be sought from Reigate & Banstead Council. We can help you to obtain this.We cannot provide a bar or anyone to run it, although the storeroom (see the leaflet that is available on request) is quite suitable for this purpose.

The Hall does have a kitchen (see the leaflet); it is suitable for preparing and serving food but it is not suitable for large-scale cooking. The Hall does not have any cutlery, crockery or any other kitchen equipment that you can use so you must bring everything with you.

You must remove all rubbish when you leave; please bring rubbish bags for this purpose.

We cannot provide any form of sound system, projector, or screen; if you wish to use music or show images in the Hall then you must bring your own equipment. The front part of the stage, to a depth of about 15ft, is available for your use should you wish.

 

Making a booking

If you wish to book the Village Hall then we require you to provide a postal address and at least one of a landline telephone number, mobile telephone number, or email address.

Once you have chosen a date then we shall send you a Hire Agreement showing your chosen date and time. A provisional booking will be made. This does not guarantee the booking but if anyone else requests the same date then we shall contact you to see whether you still wish to retain that date before we release it to somebody else.

Once you have signed and returned the Hire Agreement, together with a cheque for the deposit if one has been requested, then the booking will be converted to a firm booking. The booking is now guaranteed, and should you wish to cancel it you may have to pay some or all of the hire charge.

You must pay the hire charge in full at least two weeks before the date of the hire. Failure to do so may result in the hire being cancelled.

After the hire your deposit cheque will be returned to you provided that the hall is left clean and tidy, that it was vacated by the end of your hire, and all rubbish was taken away. Failure to comply with any of these will result in the loss of some or all of your deposit.
